1. All rates quoted are inclusive of VAT and are subject to change.
2. The above quote is subject to availability. Guests wishing to avoid disappointment should confirm their bookings as soon as possible.
3. This document is a quote, not a confirmation of reservation. This quote is valid for 7 days from date of the quote.
4. A 50% deposit is required to confirm the booking. If the deposit is not paid on or before the date, as specified by Lombardy Estate, the provisional booking will be automatically released without further notice or liability to the client.
5. Conferences will commence from 07h00 and end at 17h00, Breakfast or Breakfast presentations will commence from 06h30 and end at 12h00 (noon), afternoon conferences commence from 11h30 and end at 17h00 and evening conferences commence from 17h30 and end at 24h00.
6. Any conferences wishes to continue later than normal time will be charged with an additional venue hire.
7. After hours charges will be charged at R500.00 per half an hour.
8. The total amount outstanding will be required on or before the date of the conference.
9. Should bookings be made within 7 days of arrival, a 100% deposit is required immediately.
10. Neither Lombardy Estate nor its agents or employees shall be liable for any damages of loss which may be caused to any of the goods of the customer, its employees or invitees brought onto the premises for whatever reason, nor for any injury or loss of life of the customer or its employees howsoever caused. The customer further indemnifies and holds harmless Lombardy Estate against any claim that may be made against the Company by any third party relating to the provisions of this clause.
11. An acceptance letter confirming the booking and indicating what the company will be paying for is required when the deposit is paid.
12. Methods of payment include cash, credit/debit cards, approved Government Purchase Order Forms, vouchers from approved travel agents. Cheques are accepted by prior arrangement only.
13. A cancellation fee of 50% will be charged for cancellations 15 to 21 days before the event.
14. A cancellation fee of 75% will be charged for cancellations 8 to 14 days before the event.
15. A cancellation fee of 100% will be charged for cancellations 0 to 7 days before the event.
16. Final numbers are required 48 hours prior to the conference.
17. All No Shows will be charged the full amount due.
18. Lombardy Estate will not be held liable for interruptions of services (water, electricity, sanitation).
19. The client shall be held responsible for any damages to buildings, gardens, decor etc and will be billed accordingly. No nails, hooks or any damaging objects will be permitted to the walls, roof or frames of any venues, gardens or any area of the property. The client will be held responsible in such an unfortunate event and will be billed accordingly.
